Ask for GDPR consent before collecting leads
GDPR consent in your chatbot: turn on the consent question, customise it and add your privacy policy link before collecting leads.
When your chatbot collects a name, an email or a phone number, it collects personal data. The GDPR requires you to be transparent and to get the visitor's permission. ScanChat AI can ask for GDPR consent before collecting any lead, and keeps a record of that permission.
Turn on consent
- Open your chatbot's Lead capture section (step 3, Leads, when creating it, or the Leads tab after clicking Edit).
- Tick Ask for consent before collecting contact details (GDPR).
- If you like, write your own consent question.
- Enter your website's Privacy policy URL.
- Save.
This option is ticked by default on every new chatbot, whatever your plan. We recommend keeping it on.
How consent is asked in the conversation
The chatbot first answers the visitor's questions as usual. Before asking for the first piece of personal information, it asks the consent question.
- If the visitor agrees: the chatbot goes on and collects the planned information. The permission is saved with the lead.
- If the visitor refuses: the chatbot doesn't insist. It keeps helping without asking for contact details.
If you entered your privacy policy URL, the chatbot mentions it when asking.
Customise the question
If you leave the field empty, the chatbot uses this default question: "Do you agree that we keep your contact details so we can get back to you about your request?"
You can replace it with your own wording (500 characters maximum). The chatbot automatically translates it into the visitor's language.
Keep it simple and say what the data is for: "Do you agree that the Solar Plus team calls you back about your quote? Your details will only be used for that."
The privacy policy URL must start with https://.
Find the proof of consent
On the Leads page, leads where the visitor agreed show a Consent label. Hover over it to see the date and time of the permission.
The CSV export also has a Consent column, handy for keeping a record in your own files. See Manage and export your leads.
Effect on alerts and CRM sending
When consent is turned on, the email alert and the sending to your CRM only go out after the visitor agrees. A visitor who refuses therefore triggers no notification.
If you turn consent off, the chatbot asks for the information directly and notifications go out right away.
Turning consent off doesn't free you from your GDPR obligations. Make sure your website clearly tells visitors how their data is used.
