Get an email or WhatsApp alert for every new lead

Email and WhatsApp alerts for every new lead: who receives them, when they are sent, what they contain, how to add recipients and turn on WhatsApp.

A prospect waiting for an answer is a prospect cooling down. To help you call back fast, ScanChat AI sends you an email alert for every new lead captured by your chatbot, with all the information the visitor gave. Depending on your plan, you can also receive each lead on WhatsApp.

Who receives the alert

By default, the alert goes to your ScanChat AI account email address. There's nothing to set up.

You can also send alerts to other addresses, for example your salesperson's or your front desk's. The number of addresses depends on your plan:

  • Starter: your account email only.
  • Growth and the free trial: 1 address of your choice.
  • Pro and Scale: up to 5 addresses.

When you enter custom addresses, they receive the alert instead of your account email. To compare plans, see the Billing page.

Choose the recipients

  1. Open your chatbot's Lead capture section (step 3, Leads, when creating it, or the Leads tab after clicking Edit).
  2. In Notifications, fill in the Notify these email addresses of each new lead field.
  3. Separate addresses with commas.
  4. Save.

Leave the field empty to go back to your account email. If you enter more addresses than your plan allows, only the first ones receive the alerts.

To avoid depending on a single person, use a shared address (for example contact@your-company.com) rather than a personal inbox.

When the alert is sent

Each lead triggers a single alert:

  • As soon as the lead is complete, meaning the visitor has given all the required information.
  • 10 minutes after a visitor left their email or phone, if they left without finishing. This way you hear about partial leads too, as long as you can contact the person.

If GDPR consent is turned on, the alert is only sent after the visitor agrees. See GDPR consent.

What the email contains

  • The subject "New lead from" followed by your chatbot's name.
  • The collected information, in the order of your fields.
  • A note if the visitor didn't give all the requested information.
  • A View in dashboard button that opens the Leads page.

The email is written in your chatbot's language (English, French, Spanish or Hebrew; English otherwise).

WhatsApp alerts

To react even when you're away from your computer, you can receive every new lead directly on WhatsApp. The email alert is still sent as well.

Turn on WhatsApp alerts

  1. Open your chatbot's Lead capture section (step 3, Leads, when creating it, or the Leads tab after clicking Edit).
  2. In WhatsApp alerts, below the email notifications, tick Receive every new lead on WhatsApp.
  3. Enter your WhatsApp number in international format, starting with + and the country code: for example +33 6 12 34 56 78 or +972 50 123 4567.
  4. Click Send a test to check that the message reaches your WhatsApp.
  5. Save.

What the WhatsApp message contains

The WhatsApp alert is sent at the same time as the email alert: if GDPR consent is turned on, only after the visitor agrees. It comes from the ScanChat AI account, in your dashboard language, and contains:

  • Your chatbot's name.
  • The lead's contact details.
  • The lead's qualification (hot, warm or cold) and the suggested next step.
  • A View the lead button that opens the lead in your dashboard.

Israeli numbers receive the alert from an Israeli number. For other countries, such as France, it is sent from a number in the same country when one is available.

Number of WhatsApp alerts by plan

  • Starter: not included.
  • Free trial: 20 alerts per month.
  • Growth: 100 alerts per month.
  • Pro: 300 alerts per month.
  • Scale: 1,000 alerts per month.

Above the monthly quota, alerts continue by email only. The counter resets every month on your subscription's anniversary date, just like replies. See Plans and limits.

Not receiving alerts?

  1. Check your spam folder and add the sender to your contacts.
  2. Check the spelling of the addresses entered in Notifications.
  3. Check that the lead does appear in Leads and that it includes an email or phone number.
  4. If consent is turned on, check that the lead shows the Consent label.
  5. For WhatsApp: check that the number is in international format (with + and the country code), click Send a test and check that your plan's monthly quota hasn't been reached.
