Send chatbot leads to your CRM (Zapier, Make)

Send chatbot leads to your CRM with Zapier or Make: set the webhook URL, see the data sent for each lead and run an end-to-end test.

Already tracking customers in a CRM, a Google Sheets spreadsheet or a quoting tool? You can send chatbot leads to your CRM automatically with a webhook. Each new lead is sent to the address of your choice, for example a Zapier or Make scenario, which then drops it into your tool.

Sending to your CRM is available on the Pro and Scale plans. On other plans, the field is locked. See the Billing page to change plan.

Step 1: create the receiving address

Start in your automation tool:

  • Zapier: create a Zap with the "Webhooks by Zapier" trigger, event "Catch Hook". Zapier gives you an address starting with https://hooks.zapier.com/.
  • Make: create a scenario that starts with the "Custom webhook" module. Make gives you a receiving address.
  • Your CRM: if it offers an incoming webhook address directly, you can use it.

Copy this address.

Step 2: paste it into ScanChat AI

  1. Open your chatbot's Lead capture section (step 3, Leads, when creating it, or the Leads tab after clicking Edit).
  2. In Notifications, paste the address into Webhook URL (Zapier, Make, CRM…).
  3. Save.

The address must follow two rules:

  • it must start with https://;
  • it must be publicly reachable on the Internet. For security reasons, nothing is sent to an internal or local address (your company network, localhost…).

This is set chatbot by chatbot: if you have several, paste the address into each one.

What is sent

For each lead, ScanChat AI sends a POST request in JSON format, at the same time as the email alert: as soon as the lead is complete, or 10 minutes after a visitor left their email or phone without finishing. Each lead is sent only once.

{
  "event": "lead.captured",
  "lead": {
    "id": "…",
    "chatbot_id": "…",
    "chatbot_name": "Solar Plus Assistant",
    "conversation_id": "…",
    "data": { "name": "Mary Smith", "phone": "07123456789", "postal_code": "SW1A 1AA" },
    "is_complete": true,
    "consent_given": true,
    "created_at": "…"
  }
}

In data, each value uses the field's technical identifier (the one shown under its name in lead capture). In Zapier or Make, map these values to your CRM's columns.

Don't change the identifiers once your scenario is running: your automation relies on them. Industry templates use English identifiers (name, phone, email…) that stay stable.

Step 3: test end to end

  1. Open your chatbot and click Test Chatbot.
  2. Run a full conversation like a prospect, giving a test name, email and phone number, and accepting consent if asked.
  3. In Zapier or Make, check that the request arrived, then finish setting up your scenario.

If nothing arrives, check that the lead appears in Leads and that the pasted address is complete.

Sending is not retried if it fails: if your scenario is turned off when the lead comes in, it won't be sent. It stays visible in Leads and in the CSV export.
