Manage, track and export your leads to CSV

Manage and export your leads: compact list and detail panel, follow-up statuses, notes, archiving, bulk actions, filters and an Excel-ready CSV export.

All the contacts captured by your chatbots end up in one place: the Leads page of your dashboard. There you follow each request through to the sale, and you can export your leads to CSV to open them in Excel or import them into another tool.

Open Leads from the left-hand menu.

Read the list of leads

Leads are grouped into Today and Earlier, from newest to oldest. Each lead fits on a single compact row:

  • its name (or, if there is none, its email or phone number), with the email or phone number in grey next to it;
  • the chatbot that captured it;
  • its follow-up status;
  • the date and time.

The Partial badge flags a visitor who didn't give all the required information. It's often still worth calling them back.

Open a lead's details

Click a row (or move to it with the keyboard and press Enter): the Lead details panel opens on the side, without leaving the list. It shows:

  • all the Captured Information, with the name of each of your fields;
  • the chatbot, the date and the status;
  • the Completeness (Complete or Partial) and the Consent, with the date the visitor agreed;
  • the View conversation link, to read the whole exchange with the visitor;
  • your Notes.

Move to the previous or next lead with the arrows at the top of the panel (or the up and down arrow keys). Close the panel with the cross, the Escape key or by clicking outside it.

Add notes

In the panel, the Notes field lets you keep track of your follow-up: call-back date, exact need, quote amount… The note is saved when you leave the field or click Save; Saved confirms it. Notes are only visible to you.

Track each lead with statuses

Each new lead comes in with the New status. Change it in the Status drop-down list of the panel as you follow up:

  • New: not handled yet.
  • Contacted: you called or wrote to the prospect.
  • Quote sent: a proposal is in progress.
  • Won: the prospect became a customer.
  • Lost: the request didn't go through.

The change is saved immediately.

Start each day with the New filter: you see at a glance the requests still waiting for an answer.

Search and filter

  • Active / Archived: choose the view above the search bar.
  • Filter by status: at the top right, choose a status or All statuses.
  • Search: type a name, email, phone number or chatbot name in the search bar.
  • Filter by date: click the filter button next to the status list, then set the From and To dates. Click Clear filter to go back to the full list.

Leads are shown in pages of 20. Use Previous and Next at the bottom of the list. Search and the date filter apply to the page shown.

Export your leads to CSV

  1. Display the leads to export (status, search, dates).
  2. Click Export CSV.
  3. Open the leads_ file followed by today's date in Excel, Google Sheets or LibreOffice.

The file has one row per lead and the following columns: Date, Chatbot, Status, Completeness, Consent, then one column per piece of collected information.

The export includes all your leads matching the current filters (status, search, period), not only the page shown on screen.

When your dashboard is in English, the file uses a comma as separator, and accented characters are kept, so it opens correctly in Excel.

Archive a lead

A handled lead cluttering your list? Open its panel and click Archive. The lead leaves the Active view but is not deleted: it keeps its status and still counts in your statistics.

To find your archived leads, click Archived above the search bar. To put a lead back in the main list, open its panel and click Unarchive.

Act on several leads at once

  1. Tick the box at the start of each row you want. The box in the list header selects the whole page.
  2. When the whole page is ticked, click Select all N leads matching the filters to extend the selection to every lead matching the current filters, not only the page shown.
  3. Choose an action in the bar that appears at the bottom of the screen.

The action bar shows the number of selected leads and offers:

  • Change status: applies the same status to the whole selection;
  • Archive (or Unarchive in the Archived view);
  • Export CSV: exports only the selected leads;
  • Delete: permanently deletes the selection, after confirmation;
  • Clear selection.

Delete a lead

Open the lead's panel, click Delete, then confirm. To delete several leads at once, use the bulk actions above. If you only want a lead out of the list, use Archive instead.

Deletion is permanent: a deleted lead cannot be recovered. Export it first if you want to keep a record.
