Appointment booking with Calendly
Add your Calendly link: your chatbot offers appointment booking to visitors who want to schedule a call or a visit. Set up in 2 minutes.
Do you take appointments (discovery call, technical visit, consultation)? Add your Calendly link to your chatbot: when a visitor wants to book a slot, the chatbot gives them the link and they pick their own time. Appointment booking happens without any back-and-forth emails.
How it works
- The visitor says they want to meet you or be called back ("I'd like an appointment", "Can you call me?").
- The chatbot offers your Calendly link in its answer.
- The visitor clicks: your Calendly page opens in a new tab, they choose a slot and confirm.
Booking happens entirely on Calendly. You get Calendly's confirmation as usual, and the appointment appears in the calendar connected to Calendly.
You need a Calendly account and the public link of your booking page, for example https://calendly.com/your-name/30min.
Add your Calendly link
When creating the chatbot: in step 6 of the wizard, Integrations, the last one.
- Turn on the switch on the Calendly card.
- Paste your link into the Calendly URL field.
- Finish creating the chatbot.
On an existing chatbot:
- Open My Chatbots and click Edit on your chatbot.
- Open the Integrations tab.
- Turn on Calendly and paste your link into Calendly URL.
- Click Save Changes.
To change the link later, replace it in the same field and save.
Copy the link of a specific event type (for example "30-min discovery call") rather than your general page: the visitor lands straight on the calendar, one click fewer.
Guide the chatbot with your instructions
The chatbot offers the link as soon as a visitor wants to book. You can also tell it when to offer it on its own, in your instructions:
When a visitor has a concrete project, offer them a free 30-minute discovery call with our advisor. If you start from the appointment template (Appointment Scheduler), re-read it: it mentions checking availability, sending confirmations and handling cancellations. The chatbot doesn't see your calendar and doesn't book on the visitor's behalf: Calendly handles all of that. Remove those lines and simply ask the chatbot to share the link.
The chatbot doesn't know your free slots. Avoid instructions such as "suggest an available time": it might make one up.
Going further
- A "Book an appointment" quick reply: create a quick reply whose answer contains your Calendly link. The visitor books in two clicks.
- Keep the visitor's details: lead capture keeps working. Even if the visitor doesn't book right away, you keep their name and email to follow up.
- Another booking tool: the chatbot shares the link as it is. If you use another online booking tool, its public link works the same way.
What's next?
- Test the chatbot by typing "I'd like to book an appointment".
- Add a quick reply for booking.
- Choose the information to collect.
