Set up your chatbot's lead capture
Lead capture chatbot: choose the information to ask visitors for (name, email, phone…), its type and which details are required.
Your chatbot doesn't just answer questions: it can also collect your visitors' contact details and project information. This is lead capture. You choose the information to ask for, and the chatbot gets it naturally during the conversation, without a form.
Where to set up lead capture
The Lead capture section has its own step in the creation wizard: step 3, Leads.
For an existing chatbot:
- Open My chatbots and click Edit on your chatbot.
- Open the Leads tab.
- There you'll find the Lead capture section.
- After your changes, click Save Changes.
Lead capture is included in every plan and in the free trial. Without an active plan, the section is locked.
Choose the fields to collect
In Fields to collect, each line is one piece of information asked from the visitor.
- Click Add a field.
- Type the field name as you want to see it in your leads (for example "Postal code").
- Choose its type: Text, Email, Phone, Number or Choice list.
- Tick Required if you really need this information.
- For a Choice list, type the choices separated by commas (for example "House, Apartment").
Under each field name, a technical identifier is shown (for example postal_code). This is the name used in the export and when leads are sent to your CRM. You can also insert it in your instructions with {{postal_code}}.
To remove a field, click the bin icon at the end of the line. If no field is configured, the chatbot doesn't collect leads.
Instead of starting from scratch, pick a template in Start from an industry template… and click Apply. See Lead templates by industry.
What the chatbot checks for you
Each field's type lets the chatbot check the visitor's answer:
- Email: the address must have a valid format.
- Phone: the number must have 8 to 15 digits.
- Number: a numeric value is expected.
- Choice list: the chatbot offers the choices you defined.
If a value is invalid, the chatbot politely asks again and explains the expected format. It asks one question at a time, answers the visitor's questions first and never asks again for information already given.
Limits by plan
The number of fields and the available types depend on your plan. The counter under the list (for example "4 / 10 fields") shows where you stand.
- Starter: up to 4 basic fields (text, email, phone).
- Growth and the free trial: up to 10 fields, with choice lists, numbers and industry templates.
- Pro and Scale: up to 20 fields, with every type.
If you go over your plan's limit, the extra or advanced fields are ignored by the chatbot. To compare plans, see the Billing page.
Complete and partial leads
A lead is saved as soon as the visitor gives a first piece of information. It is then filled in as the conversation goes on.
- A lead is Complete when all the required information has been given.
- It stays Partial if the visitor leaves before the end. You still find it in your leads: you don't lose a half-filled contact.
Keep required fields to the bare minimum, for example name and phone. The less you ask, the more visitors go all the way.
What's next?
- Ask for GDPR consent before collecting contact details.
- Get an alert for every new lead.
- Manage and export your leads.
